Processing Stages

Fabasoft eGov-Suite offers the implementation of common functionalities relevant in European countries and completely covers all requirements of a records management solution. The standard product allows all phases in the editing of files and records as well as support processes and administration.

Accepting Inbound Correspondence and Capture

Services range from accepting content from different sources such as mass-scanning (Kofax Capture), different mail systems, file systems, connected third-party products or through included workplace scanning functionality. For capture there is an optimized view with split-screen functionality for comfortable and quick creation and attribution of business items.

Delivery

Items are automatically delivered to the responsible position or assigned by executives manually to certain departments, employees or registry.

Declaration

Declaration within the filing plan makes it possible to attribute new business items to new or existing files while automatically applying organizational rules based on the file plan. Aside from declaration itself, there are additional functionalities such as defined support processes for records managers.

Editing

The editing phase is made easy via several tools in Fabasoft eGov-Suite document management, which are extended to include efficient, rule-based functionality for business case editing. Editing itself can be performed from a free document or as formal record.

Formal Approval

The defined approval and provision can be assigned via integrated workflow functionalities.

Finalization and Sending

Fabasoft eGov-Suite can convert into final formats (PDF, PDF/A or TIFF) and send them from the system, or in the media paper, mail or fax. These steps are compliance-safe and can be fully traced.

Out-tray, Archiving and Resubmission

In addition to resubmission Fabasoft eGov-Suite allows the automated calculation of discarding periods and can then sort electronic data to pass it on to an archival organization.

File inventory is structured according to international standards derived from a fileplan into fileplan entries, files and records, and complies with required meta data models.

For data exchange, XML interfaces are available for import and export. For the realization of web service based on the JSR 168 standard there is also a plug in for portal solutions (Liferay).
