Fabasoft eGov-Suite supports the implementation of audit-proof archiving; via the product Fabasoft iArchive. It allows transfer of digital files into a audit-proof archive. Nothing changes for the user when accessing an archived business object within the user interface.

Single Instance Content Repository

Fabasoft eGov-Suite and Fabasoft iArchive together form a unified content repository for all kinds of electronic files, independent of type and origin. Content is filed in business objects that are described in their properties.

Fabasoft eGov-Suite and Fabasoft iArchive implement a “content addressed storage” mechanism, which computes the storage address of the content from a hash (check protocol). This ensures that each content is stored physically only once – even when it is saved multiple times in the content repository. If, for example, an E-Mail is sent as copy to ten colleagues, and each recipient saves the attachment into the content repository, this attachment is only stored once and thus occupies only one tenth of the storage it might do otherwise.

Using "save as…" a document can also be saved in a third-party application or custom application in a web folder directory within Fabasoft eGov-Suite and subsequently be archived with Fabasoft iArchive.

Certified audit-proof archiving

Fabasoft eGov-Suite makes audit-proof archiving possible based on functionalities implemented in Fabasoft Folio - the basic version. The certification was performed in a concrete project environment by PriceWaterhouseCoopers, and no flaws were found. Focus of the audit were the following aspects:

• It is not possible to manipulate archived files.
• It is not possible to delete relevant documents before the end of their retention period - not by a Fabasoft administrator either.
• The process from paper to electronic archives is sufficiently secure.
• Legal requirements are fulfilled.

Batch import

Fabasoft eGov-Suite also supports importing large batches of data. This is possible via the product technology COLD and is also possible rule-based and in the background (batch mode).

Archiving from print

Fabasoft eGov-Suite supports the archiving of documents from third-party applications and custom applications via the Fabasoft printing driver. With this method, content is printed from the application and sent to the Fabasoft Content Repository. This makes it easy to archive AutoCAD drawings, for example.

SAP archiving

Fabasoft eGov-Suite allows archiving of content from SAP in the content repository of the product. The SAP iArchiveLink certificate documents that the implementation of the SAP iArchive interface in Fabasoft eGov-Suite is certified by SAP. The certification result confirms that Fabasoft eGov-Suite with over a million archived documents per hour delivers the by far best result among all certified archival products. In addition to the import or archiving from SAP, you can also archive from print.
