
Roll-out in Federal Institute for Geosciences and Natural Resources completed

The roll-out of Fabasoft eGov-Suite in the Federal Institute for Geosciences and Natural Resources (BGR) was completed in June 2011.
BGR is part of the Geozentrum Hannover, which also includes the Federal Office for Mining, Energy and Geology (LBEG) and the Leibniz Institute for Applied Geophysics (LIAG). Currently work is being carried out under the project named ELVIS to equip the Geozentrum Hannover with a document management and processing system. With the roll-out in the BGR, an important milestone of this project was completed.
BGR originally started the ELVIS pilot phase in March 2010 with 350 users in the central administration and one selected special department. After the successful completion of the pilot phase in March 2011, the deployed version of Fabasoft eGov-Suite was updated to version 8 SP1. In April, training for the other specialized departments started. As of the end of June 2011, ELVIS has been launched for all BGR staff (720 registered users).
In addition to electronic records, ELVIS also implements standard personnel procedures, for instance leave applications and sick reports. The applications are processed and approved completely electronically. Another essential ELVIC component is the project specific implementation of an SAP interface which facilitates the transfer of orders, procurements (BANF), payment requests etc. from SAP to ELVIS. In addition to the pdf file itself, the system also transfers the meta data enabling its assignment to existing, partly automated processes. SAP subsequently records a link to the ELVIS file, so that the file can later be retrieved immediately in case of a SAP audit.
The preparations for the roll-out in LBEG next year are currently under way.
